The Communications tab is the tenant's communication log: a running record of what was discussed with the tenant, who raised it, whether it is still open, and when you need to follow up. Use it for phone calls, emails, maintenance requests, rent demand notices and similar.
Free-text notes, documents and custom fields are on the Details tab — see Find and update a tenant's information.
Add a log entry
- Open the tenant and click the Communications tab.
- Click Log entry. You can also choose Log communication from the … menu in the tenant header or from Quick Actions on the Overview.
- Fill in:
- Comment — what was communicated, for example Called about the upcoming HVAC inspection; tenant will provide access.
- Status — for example open or closed.
- Log date — when it happened.
- Follow-up by — the date you need to act by.
- Reported by — who raised it.
- Click Add entry.
Review and update the log
The log lists each entry's Logged date, the Entry text, Status, Reported by and Follow up date. Click a column header to sort by it.
- Use the chips above the log — All status and one chip per status — to show only entries with that status.
- To change an entry, click ⋮ (Options) on its row, or right-click it, and choose Edit. Change the fields and click Save changes.
- To delete an entry, choose Remove and confirm.
Logged communications also appear under Recent Activity on the tenant's Overview.
Adding, editing and removing log entries requires permission to edit tenants.
